At Peptido, our process runs in four stages: a free 20-minute discovery call, a written scope with fixed pricing, hands-on production with weekly check-ins, and a final walkthrough before sign-off. Most projects take three to six weeks. Founded in 2019 and based on Ulica Marszałkowska, we've completed over 400 jobs using this same rhythm.

What happens on the first call with Peptido?

The first call is short. We ask what you want, what you've already tried, and when you need it done. That's it. No pitch, no upsell.

We block 20 minutes because longer calls tend to wander, and wandering costs both of us money. If your project is a fit, we'll book a scoping session within 48 hours. If it isn't, we say so on the call and point you somewhere better. Roughly one in five inquiries gets referred out. That's deliberate, and it's the same principle we describe in our guide on how to choose the right partner for the job.

A recent example. On October 3rd, a business owner named Marta called about a rush job she thought needed two weeks. After ten minutes of questions, we realised the actual deadline was driven by a supplier meeting she could reschedule. Real timeline: five weeks. Budget saved: about 40%.

How do we scope and price the work?

We quote flat fees, not hourly. Hourly billing punishes you for our learning curve, and studies from the Harvard Business Review and industry surveys have long shown fixed-price arrangements produce higher client satisfaction in professional services [1].

Here's how our three main engagement types compare:

EngagementTypical Cost (PLN)TurnaroundBest For
Discovery audit800–1,5005–7 daysClients unsure of scope
Standard project4,000–12,0003–6 weeksDefined single deliverable
Retainer3,500/monthOngoingRepeat monthly work

Most people ask first about price. That's the wrong first question. Ask about the failure rate, because a cheap job that fails costs more than a fair job that ships. We track ours: 3.2% of projects need a second revision round beyond what's included. We publish that number because hiding it would be dishonest.

What does the production phase actually look like?

Production is where most agencies go quiet for weeks and then surprise you. We don't do surprises. You get a Friday update every week, in writing, whether there's progress or a blocker.

Our production checklist for every project:

  1. Kickoff document signed and archived within 24 hours of deposit.
  2. Weekly Friday status email sent by 4pm, with photos or files attached.
  3. Midpoint review call scheduled at the 50% mark for alignment.
  4. Change requests logged in writing, priced, and approved before work resumes.
  5. Pre-delivery quality check performed by a second team member.
  6. Final walkthrough scheduled at least 48 hours before deadline.
  7. Post-project follow-up at 30 days to catch anything we missed.

Try this: ask any provider you're considering to show you a real Friday update from a past client (redacted). If they can't, they don't have the habit. According to research from Google's own developer documentation on service transparency, clear expectations are a top driver of repeat business [2].

When is a project actually finished?

A project is finished when you've signed the walkthrough form and used the deliverable in the real world for at least one week. Not before. We built this rule after a 2021 job where we delivered on Friday, the client signed on Monday, and by Wednesday we found an issue nobody had spotted. Now we bake that testing week in.

FAQ

How much does a typical Peptido project cost?

Standard projects run between 4,000 and 12,000 PLN, quoted flat. Discovery audits start at 800 PLN and are credited toward the project if you proceed. We send a written quote within 48 hours of the scoping call, valid for 30 days.

Do you work outside your immediate service area?

Yes, but with conditions. For clients more than 50 kilometres from our Marszałkowska office, we require an initial in-person meeting or a paid discovery audit before quoting. This protects both sides from scope misunderstandings that phone calls alone can't catch.

What happens if I'm not satisfied with the result?

Every project includes two revision rounds at no extra cost. If we still haven't hit the mark, we'll either refund the final invoice or continue at no charge until we do. Which option depends on whether the gap is our misread or a changed brief.

How quickly can you start?

New projects typically begin two to three weeks after deposit, though we hold one rush slot per month for urgent work at a 25% premium. Book the discovery call first, because we can't confirm start dates until scope is clear.
